Come, join the excitement and adventure of the 2008 Southern Region Section 3 Conclave at Will Rogers Scout Reservation near Cleveland, Oklahoma, April 25 - 27, 2008. Included in the weekend will be exciting activities held all over the Camp. Sound great yet?

There's more. Also included will be competition in Indian events, training classes, patch trading, amazing shows, special events, and for your dining pleasure, excellent food throughout the weekend. You cannot afford to miss this amazing adventure. Not only will this weekend be entertaining, but it also provides every lodge an opportunity to demonstrate what makes them unique and to gain experience from each other. This promises to be the best conclave ever in competition and enjoyment.

All this is yours for just $25 if you register early - that is, before March 20. After that, it will cost you $35.00 (or $50.00 after April 15).

All attendees, regardless of whether they are a participant or staff serving in any capacity, and regardless of time actually spent at conclave, must pay the full Conclave Fee in effect at the time of registration, unless they are a special invited guest of the Conclave with written pre-arranged fee waivers from the Section Adviser or Section Staff Adviser. This provision also includes section officers, host lodge and service lodge officers, CVC's, and their respective advisers.
There is NO partial fee arrangement for partial attendance!
Everyone must register for Conclave with their home lodge.

You must bring your own bedding and shelter - none will be provided. What a treat - camping out like Scouts are meant to. However, all meals will be provided in the dining hall so you won't use any of your valuable time during the weekend preparing food. This is a fun weekend and it will be filled with fun things to do.

Be part of choosing your Section leadership for the upcoming year. Elections will be held on Saturday during Conclave to elect those you want to lead your Section until the next Conclave.


 

PARTICIPANT REGISTRATION

Order of the Arrow members who wish to attend the 2008 Section 3 Conclave must register through their home Lodge. Each Lodge will be responsible for registering its own members. Each Council has the responsibility to insure that everyone from that Council who is allowed to register meets their membership and screening requirements to be a member in good standing and to attend the Conclave. Registration includes the receipt of a Conclave Registration Form with a properly completed and signed Medical Release and the correct fee. Please note that for all participants under the age of 21, the participant's parent or legal guardian must sign the form. No other signature is acceptable for this purpose. Individual registration directly to Section 3 is not authorized. .

Conclave is classified as a National Event just like the National Order of the Arrow Conference and the National Jamboree. As such, we are required to follow national guidelines regarding registration for the event. Therefore, all participants must pre-register for the event.

Each Lodge will also be responsible for checking-in their own members at Conclave. A station will be provided at the Camp to complete this process. Participants should check in with their Lodge representative upon arrival at the Conclave on Friday. Arrivals after Friday night registration close should check in at Conclave Central Registration.

IMPORTANT *** Participants must provide their own bedding and tenting. Tents will NOT be provided by the camp or the Host Lodge! Campsite assignment will be made prior to arrival of lodges at Will Rogers Scout Reservation.

Attendance and participation in Section 3 Conclave events and activities are reserved only for members of the Lodges of Section 3 in good standing and invited guests of the Section. Invited guests must be approved at least 2 weeks prior to the event by the Section Adviser, Section Chief and Section Staff Adviser.

 

 
CONCLAVE TRADING POST

The section will operate a trading post during Conclave. It will be closed Saturday morning during Training Sessions and will close for the weekend once the Saturday evening show begins.

Most trading post items can be pre-ordered and some can ONLY be pre-ordered. A customized Conclave Trading Post Pre-order Form for each Lodge will be posted on this web site. Several items are pre-order only or have quantity limitations and thus may not be available for sale at Conclave. Trading post orders are to be sent only to Circle Ten Council and must arrive there no later than 5:00 p.m. on March 28, 2008. Orders received after that date will either be returned to sender without action or a refund will be made to the sender after Conclave. Some of the pre-order items are subject to minimum quantities, and if quantities are not met, refunds will be made to participants by the central registration at Conclave.

Individuals not members of the Lodges of Sections 3 may submit pre-orders for trading post items. There will be an Out of Section order form which should be used for this purpose. These orders will be mailed upon the completion of conclave and Section member pre-orders will be filled before out-of-section orders. Refunds for any unfilled orders will be made after April 30 and prior to May 31, 2008.

Some Lodges will make some of their Lodge specific items available in the Section Trading Post at the Conclave.

 

CONCLAVE SNACK BAR

UNAUTHORIZED SALES

Specific permission will be granted to certain Lodges for sale of items such as Indian crafts and engraving items such as name tags. These operations must be closed during Saturday morning training sessions! Requests should be approved by their home lodge and then submitted to Shane Herrington, Associate Section Adviser, prior to April 1. These groups will be required to be in visible locations generally available to all participants. The selling of patches, memorabilia, or any other items, outside the official Conclave Trading Post or one of these approved sellers is strictly forbidden. Anyone discovered selling any items who has not been approved by the Section Key-3 will be asked to leave the Conclave weekend.


 

 
OTHER CONCLAVE INFORMATION

Conclave 2008 goers will have a fun time and great activities in store for them at the event. We are bringing together all the Lodge of Section 3 for an event of a lifetime.

  • Section Elections - Section Elections to elect our new Section Chief, Section Vice-Chief and Section Secretary for the coming year. Anyone wishing to run for office must have the signed authorization of the Scout Executive of his Local Council prior to being nominated. The nomination and the approval should be sent to the Section Adviser prior to the Conclave and a copy should also be brought to conclave by the nominee. A nomination form can be downloaded from this web site. Final deadline for submission of nomination forms is 12:00 noon, Saturday, April 26, 2008.

  • Visitors - Visitors and special guests to the Conclave will be permitted provided that they are approved by the Section Key-3 at least 2 weeks prior to the event. All approved visitors and guests must pay any required fees and check in at Conclave Headquarters upon arrival and departure. Non-approved visitors will be asked to leave the camp.

  • Uniform - Your uniform and wristband is your meal ticket. A complete Boy Scout uniform is expected at check-in, Saturday morning training sessions, campfires, the Section Business meetings, Chapel and all meals except the Saturday noon meal. The noon meal will be informal and the activity uniform or Native American outfit will be acceptable. The activity uniform (Scouting T-shirt, Scout Shorts and Scout Socks) is acceptable for afternoon competitions and recreation. The Order of the Arrow Sash should never be worn without a complete Boy Scout uniform. The Conclave wristband issued at check-in will be worn at all times. Note that this is a "wrist band' and not a pack, shirt, leg, etc. band - it is to be permanently affixed to each participant's wrist.
